Progress Data That Holds Up in an IEP Meeting

Progress Data That Holds Up in an IEP Meeting (MyTherapyWizard help article card)

Therapists describe districts moving from monthly to weekly or every-two-weeks data, and teachers questioning progress in IEP meetings. Data collection should not replace therapy, so collect it inside the activity the goal measures.

🧩 Good practice

  • Measure what the goal measures, in the routine it names.
  • Record the support level, not just accuracy. 70% correct alone is a different result from 70% with hand-over-hand help.
  • Take a quick data point every session instead of a long probe once a month.
  • Protect yourself. Record your session notes as they happen.  If nothing is documented, there is no evidence that it happened.

🪄 In MyTherapyWizard

  1. In Add Session, select Add Goal Data for each goal you worked on.
  2. MyTherapyWizard calculates a GPI for each goal, combining performance with the support required, and an SPI for the session.
  3. When you need a report, open Report Wizard, choose Progress, pick any date range, and choose the audience.
  4. On Teams with Billing, Analytics › Client Trends shows composite and domain trends across your caseload.

InfoWhy it matters: when someone asks to see your data, you show a dated trend for each goal, not a summary from memory. Sessions without notes are not defensible.

Built on structured, scored results

MyTherapyWizard is an EMR with clinical protocols built in:

  • Guided Evaluations are scored with structured scoring: the same criteria, rules and performance bands for every client.
  • The plan of care is generated from that evaluation, with goals linked to the baseline.
  • Once the plan of care is active, its goals populate into your session notes. Each goal gets a Goal Performance Index (GPI) that combines accuracy with the support needed, so 70% independent and 70% with maximum assistance score differently. Each session gets a Session Performance Index (SPI), the average of its GPIs.
  • Reports draw from these scored results plus the comments and narratives you wrote. AI only helps with wording. It never changes a score, and you approve every line.
