Step 1: Organization Settings for Therapy Teams | MyTherapyWizard

Step 1: Organization Settings

Step 1 - Organization Settings - MyTherapyWizard help article card

Organization Settings tell MyTherapyWizard who your practice is: your name and contact email, how secure communications behave, which service types you offer, the districts and schools you serve, your team's favorite templates, your seats and AI credits, and (with the Billing add-on) the details printed on invoices and forms. Everything else you set up builds on this page, so it comes first.

Before you start

  • Who does this: the account Admin.
  • How long it takes: about 15 to 20 minutes.
  • Plan needed: Teams.
  • Have ready: the email address families should reply to, your district and school list (a CSV works), and, if you have the Billing add-on, your practice's display name and payment-remittance text.

Billing add-on features: some tabs and options described here only appear when your team has the Billing add-on enabled. Without it, they're hidden or turned off. The billing features are powered by ClaimMD, which needs its own ClaimMD account and subscription (separate from MyTherapyWizard).

Where to find it: in the left menu under Management, open Practice Settings › Settings. You'll see the General, Districts & Schools, Templates and Billing tabs, plus a Medical tab when the Billing add-on is enabled.

👣 Step 1: General

Organization Settings General tab with organization name, contact email, communications and service types

  1. Organization Name: enter your practice or agency name as you want it to appear across MyTherapyWizard.
  2. Contact Email: enter the address where replies should go when a family answers a form email. It also appears on forms, in email footers and on patient statements. If you leave it blank, replies go to MyTherapyWizard support, so fill it in. Double-check the spelling; the address isn't verified.
  3. Communications:
    • Keep Communications feature is active checked to send secure email to a client's external contacts (parent, adult client, teacher). Shared documents go out as password-protected PDFs; the password is the client's date of birth (MMDDYYYY).
    • Allow session notes to be shared is off by default. Turn it on only if your practice shares session notes outside the team.
    • Replies go to: choose whether replies route to the sending clinician or a central address. Mail always sends from MyTherapyWizard's address with your practice name on it.
  4. Service Types: check every setting you serve: Educational, Medical and Community. This controls which options and tabs your team sees.
  5. Click Save.

👣 Step 2: Districts & Schools

Districts and Schools tab with districts, schools, Import CSV and Add District buttons

  1. Click Add District for each district or contract you serve, then Add School under it.
  2. Have a long list? Use Import CSV to add them all at once.
  3. Use the pencil icon to edit a name or address later.

📱 Tip: clinic-only practices can skip this step. School-based teams should complete it before importing clients, so each student can be matched to a school.

👣 Step 3: Templates (team favorites)

Templates tab showing starred favorite assessments and other templates

  1. Open each sub-tab: Assessments, Questionnaires, Service Templates and Report Types.
  2. Click the star next to the templates your team uses most. Starred templates appear first for everyone on the team, which saves clicks every day.

👣 Step 4: Billing (seats and AI credits)

Billing tab showing clinician and office-staff seat usage and the pooled AI credits balance

  1. Review Seat Usage. Clinician seats include 200 AI credits each, pooled across your team. Office-staff seats don't use AI credits.
  2. Check your AI Credits Balance. Credits pay for AI-written wording, such as reports, translations and AI session notes. Scores and performance bands are calculated by MyTherapyWizard, never by AI.
  3. Add seats here before you invite your team in Step 2 of the Setup Path, so everyone has a seat waiting.

👣 Step 5: Medical (Billing add-on only)

This tab appears only when your team has the Billing add-on enabled.

Medical tab with patient-facing branding, payment instructions and eligibility benefit categories

  1. Patient-facing branding: enter the Display name printed on forms and generated PDFs, such as invoices, superbills and consent forms.
  2. Payment instructions: enter the remittance text printed in the footer of every invoice and superbill.
  3. Eligibility benefit categories: check the categories your team bills (for example, Occupational Therapy). They're pre-selected on every eligibility check.
  4. Click Save.

💡 Why it matters

MyTherapyWizard's clinical intelligence runs on the details you set here. Your service types decide which workflows apply, your favorites speed up every evaluation and report, and your contact and branding details travel on every form, report and statement your clients receive. Set it once and it carries through everything.

✅ How you'll know it worked

  • Your practice name and contact email appear on a test form or secure email.
  • Your starred templates show at the top when you start a new evaluation or report.
