14-Day Setup Checklist for Therapy Teams | MyTherapyWizard

Your 14-Day Setup Checklist (Teams)

Your 14-Day Setup Checklist (Teams) (MyTherapyWizard help article card)

Welcome to MyTherapyWizard Teams. This checklist takes you from a brand-new trial to a practice that runs on Flow Settings, where every client moves from referral to signed plan of care with the right person on each step and a deadline they can see. Work through one or two steps a day and you'll have a working flow before your 14-day trial ends.

Why setup takes a little longer (and why that's a good thing)

Think about setting up a fitness tracker. If you skip the setup, it can still count your steps. Once you enter your age, height, weight, resting heart rate and goals, it knows what a good day looks like for you. It can coach you, warn you when something is off and show progress that actually means something.

Most EMRs are step counters. They take a few minutes to set up because there is very little logic underneath. They store your notes and send your claims, but they don't know how your practice runs or what your clinical data means.

MyTherapyWizard is built on clinical intelligence. The time you spend here teaches it your roles, your deadlines, your payers and your rules. From then on it does the tracking for you: it puts the right task in front of the right person, flags a missing co-sign or authorization before it costs you, and reuses every score you enter across reports, goals and outcomes. A few focused hours now saves your team hours every week after.

Before you start

  • Who does this: the account Admin (an Admin Lite can help with most steps).
  • How long it takes: about 5 to 15 minutes a day across 14 days. Step 4 (mapping your workflow) is the one worth slowing down for.
  • Plan needed: Teams. Step 11 and some billing-related settings also need the Billing add-on, which is powered by ClaimMD (a separate ClaimMD account and subscription).
  • Have ready: your staff list with roles and credentials (OT, OTA, PT, SLP and so on), NPI and license numbers, the payers you bill, your consent and intake forms, and a client list if you plan to import.

Why it matters

MyTherapyWizard is a clinical intelligence EMR. Your evaluation, session and questionnaire data is entered once, scored once and reused everywhere. Flow Settings apply the same logic to your operations: once the admin lays out who is responsible for each step and when it is due, MyTherapyWizard turns that into to-dos for each person. Steps stop slipping through the cracks, and money stops being left on the table. Flow Settings only work after they're set up, which is why this checklist exists.

How you'll know it worked

  • A new client shows the lifecycle strip with a due date on each stage.
  • Your therapists see their clients and tasks in My Worklist.
  • Needs Action shows upcoming and overdue items assigned to the right roles, and the Everyone view shows the whole team.
  • Items waiting for sign-off appear in Clinical Review.

When setup is done, every client shows a lifecycle strip like this one: each stage, what's complete and what's due next.

Stuck? We'll build your flow with you.
