Step 3: Set Up Supervision Relationships

Step 3 - Set Up Supervision Relationships - MyTherapyWizard help article card

Supervision links each assistant or student to the clinician who supervises them. MyTherapyWizard uses these links to send co-sign requests to the right person, track supervision visits, assign caseload so a supervisor always has access to the supervissee's clients, and keep a signed record of every supervision session.

Before you start

  • Who does this: the account Admin or a Therapy Admin.
  • How long it takes: about 10 minutes.
  • Plan needed: Teams.
  • Have ready: a list of each assistant (OTA, PTA, SLPA) and student, their supervising clinician and the date supervision started.

Where to find it: in the left menu under your organization, open Supervision. It has three tabs: Overview, Relationships and Supervision Notes.

๐Ÿ‘ฃ Step 1: Create each supervision relationship

Supervision Relationships tab showing a supervisor, supervisee, start date and active status, with the Create Relationship button

  1. Open the Relationships tab and click Create Relationship.
  2. Choose the supervisor and the supervisee, then save.
  3. Repeat for each assistant and student. A supervisor can have more than one supervisee.
  4. When supervision ends, click the X in the End column. The relationship moves to Ended, and its history is kept.

๐Ÿ‘ฃ Step 2: Check the Overview

Supervision Overview showing total supervisors, total relationships and the last signed supervision note

The Overview tab shows every supervisor, their supervisees and the date of the last signed supervision note, so you can see at a glance who is due for a supervision visit. Filter by Active, Inactive or All.

๐Ÿ‘ฃ Step 3: Record supervision notes

Supervision Notes tab listing completed notes with date, length, in-person or phone, and signatures from supervisor and supervisee

  1. Open Supervision Notes and click Create Note after each supervision visit.
  2. Both the supervisor and the supervisee sign the note. Signed notes show as Completed.
  3. Use the filters to find notes by status, supervisor or supervisee, and Export when you need records for a state board or audit.

๐Ÿ’ก Why it matters

Supervision is part of MyTherapyWizard's clinical intelligence. In Flow Settings you can make the Supervisor (of the author) responsible for a stage, and insurance rules can require a co-sign for an assistant's sessions or documents. Both rely on the relationships you set here, so co-sign requests reach the right supervisor automatically.

โœ… How you'll know it worked

  • Every assistant and student shows on the Relationships tab with the right supervisor and an Active status.
  • The Overview tab lists each supervisor with their supervisees.
