Step 8: Group Permissions | MyTherapyWizard

Step 8: Group Permissions

Step 8 - Group Permissions - MyTherapyWizard help article card

Group permissions set the defaults for your whole team, such as whether therapists see only their own caseload. Individual permissions on a member's profile (Step 2) can still override them for one person.

Before you start

  • Who does this: the account Admin.
  • How long it takes: about 5 minutes.
  • Plan needed: Teams. The COB options need the Billing add-on.

Billing add-on features: some options described here only appear, or only take effect, when your team has the Billing add-on enabled. Without it, they're hidden or turned off. The billing features are powered by ClaimMD, which needs its own ClaimMD account and subscription (separate from MyTherapyWizard).

๐Ÿ‘ฃ Step 1: Set group permissions

Group permissions and defaults with Manage only caseload patients, Authorization visibility for therapists and COB defaults

In Practice Settings โ€บ Flow Settings, scroll to Group permissions & defaults.

  1. Manage only caseload patients: when on (the default), therapists see and manage only the clients on their caseload. Their worklist, client switcher, messages and reports are all limited to those clients.
  2. Authorization visibility for therapists: when on, therapists get a read-only My Auths tab showing their clients' authorizations. No billing amounts, ERA data or payer rates are shown.

๐Ÿ‘ฃ Step 2: Choose COB (coordination of benefits) defaults

  1. Flag COB-IN for admin review: flags clients whose secondary payer is on your in-network list.
  2. Flag COB-OON for admin review: flags clients whose secondary payer is not on your in-network list.
  3. Block billing until flag is resolved: when on, an admin must clear the COB flag before that client's sessions can be submitted. Turn this on if COB mistakes have caused denials for you before.

๐Ÿ’ก Why it matters

Permissions keep MyTherapyWizard's clinical intelligence focused: each therapist sees their own clients and to-dos without the noise of the whole practice, and authorization details are shared without exposing financial data. COB flags catch secondary-insurance problems before a claim goes out.

โœ… How you'll know it worked

  • A therapist logging in sees only clients on their caseload.
  • Therapists see a read-only My Auths tab, if you turned it on.
  • Clients with a secondary payer show a COB flag for review, if you turned flags on.
