Before you start

• Who does this: the account Admin, Admin Lite or Therapy Admin.
• How long it takes: 10 minutes to a few hours, depending on how many clients you bring in.
• Plan needed: Teams.
• Have ready: a client list (CSV) with names, dates of birth, school or site, and the primary therapist for each.

👣 Step 1: Add or import clients

1. Open Clinical › Clients.
2. Click + to add one client, or use the import button to upload a CSV of many clients at once.
3. School-based teams: make sure each client's school and district match the list you set up in Organization Settings.
4. New families can also come in through intake forms (Step 9).

👣 Step 2: Assign caseloads

1. Open Team Caseload in the left menu under your organization.
2. Find clients by name, school or district, or use Filters.
3. Assign each client a primary (P) therapist, and a secondary (S) or tertiary therapist if more than one clinician sees them.
4. You can also assign therapists from a client's record by clicking Manage next to the care team.
5. If you see a non-standard district warning, click Fix Districts to match those clients to your district list.

⚠️ Important: if Manage only caseload patients is on (Step 8), a therapist sees a client only after they're assigned. This is the most common reason a therapist says "I can't find my client."

Caseloads tell MyTherapyWizard's clinical intelligence whose client is whose. That's how each therapist gets their own worklist, how reminders reach the right person and how outcomes roll up by therapist.

✅ How you'll know it worked

• Every active client shows at least one therapist on Team Caseload.
• Each therapist sees their clients in My Caseload.
• The Caseload assignment stage is complete on each client's lifecycle strip.
