Your flow is built. Now it's time to run your practice on it. This step sets the daily and weekly habits that make Flow Settings work: therapists start in My Worklist, the admin works Needs Action, and reviewers check Clinical Review.
Before you start
- Who does this: the account Admin, with every team member.
- How long it takes: a 30-minute team training, then 10 to 15 minutes a day.
- Plan needed: Teams.
- Have ready: a time for a short team meeting to walk everyone through My Worklist.
🧩 Therapists: start every day in My Worklist

My Worklist is each person's to-do list. The tiles show what needs attention now: unsigned notes older than 2 workdays, signed notes missing a procedure code, caseload flags, expiring authorizations and plans of care, overdue provider orders, and upcoming and overdue lifecycle stages. Click a tile to jump to the list.
🧩 Admin: work Needs Action every day

- Open Needs Action under Management. It gathers everything that needs an admin across the client lifecycle and billing.
- Switch between Assigned to me and Everyone to see your own items or the whole team's upcoming and overdue items.
- Open a section to work it. If an item no longer applies, click Ignore. Check Show ignored items to bring it back.
- Export to CSV or PDF for team meetings.
🧩 Reviewers: check Clinical Review weekly

Clinical Review shows anyone with review permission what's waiting for them: plans of care, evaluations and evaluation reports pending admin review, lifecycle stage deadline breaches, and documents awaiting co-signature.
✅ Your first-week checklist
- Day 1: hold a 30-minute team walkthrough of My Worklist and the lifecycle strip.
- Days 1 to 5: admin opens Needs Action every morning.
- Day 3: check that new clients' lifecycle strips show the right stages and due dates.
- Day 5: reviewers clear Clinical Review; adjust any deadline or responsible role that isn't working.
💡 Why it matters
This is where MyTherapyWizard's clinical intelligence pays off. The flow you built turns into a personal to-do list for every person, so nothing depends on memory, spreadsheets or sticky notes, and you can see the whole practice at a glance.
✅ How you'll know it worked
- Overdue items in Needs Action go down week over week.
- Therapists say they know what to do next without asking.
- Stage deadline breaches in Clinical Review are rare and get resolved quickly.
